Who may collect a child

The authorised-pickup list, and the record of every child who left during the day.

All collection guides →

This is not fee collection. It is the gate register: who is allowed to take a child home, and who actually did.

The list is the child's, not the family's

Authorisation is recorded per child. A driver, a grandparent, an ayah or a neighbour can be authorised without being a guardian, and a guardian can be excluded — which is the case that matters most, because custody arrangements are exactly what a gate needs to know and exactly what nobody thinks to write down until it is urgent.

Early departure

A child leaving before the end of the day is recorded against a person who collected them. That record is the answer to "who took her at eleven?", and it is a question that is only ever asked when something has gone wrong — at which point reconstructing it from memory is worth nothing.

The gate is the user

Whoever is at the gate needs this on a phone, quickly, with the photo. Design your authorisations for someone deciding in fifteen seconds under a queue of parents, not for an office reviewing a spreadsheet.

Privacy

The list names people who are not students or staff, so it carries personal data of third parties. It is covered by the school's DPDP obligations in Data & Privacy: keep it current, and remove authorisations that have lapsed rather than leaving them for convenience.
