Incidents
Injuries, near misses, medical events and drills — the register you are asked for afterwards.
The register a school is asked to produce after something goes wrong — by a parent, by an inspector, or by an insurer. Its value is entirely in having been kept before it was needed.
Record the near miss
A child who nearly fell is the entry most schools skip and the one that prevents the next fall. A register containing only injuries records a school's bad luck; one containing near misses records what it fixed.
Same day, or it is a reconstruction
Write it the day it happened, with who was present. An account written a week later is a memory, and everyone reading it afterwards — including you — will know that.
Drills belong here too
Fire and evacuation drills are incidents in the sense that matters: they are dated, they have participants, and somebody will ask when the last one was. Recording them here means the answer is a lookup rather than a search through emails.
Medical events and privacy
A medical entry is health data about a minor and is among the most sensitive records the school holds. Say what happened and what was done; do not use the register to store a diagnosis it has no business keeping. Retention is governed by Data & Privacy.
This is not the complaints desk
A grievance, a conduct matter or a parent complaint belongs in Relations Desk, which has its own confidentiality rules. Incidents is for events, not disputes.
